4. Dietary requirements and allergies
We request dietary information to help arrange appropriate catering.
Relevant SHI teachers may access this information. We share only the details necessary for meal preparation and participant safety with relevant venue staff and caterers.
Providing this information is optional. If you choose to withhold or withdraw it, we may be unable to arrange your requested dietary provision.
Please contact us privately about allergies. Avoid posting sensitive information in participant group chats.
5. Live brain scan demonstrations
Some trainings include a live demonstration involving a volunteer, observed by the group.
Participation is optional. Before taking part, the volunteer will receive separate information explaining the demonstration, what is measured, who is responsible, who can view the results and whether the equipment stores any information.
Where the readings reveal health information, we will obtain explicit consent for their collection and display during the demonstration.
SHI does not retain a separate participant scan record. However, with separate explicit consent, photographs or videos showing the demonstration or scan display may be retained for promotion.
Consent to participate does not automatically include consent to recording or publication. We will explain the proposed promotional use before seeking permission and take steps to remove names and other identifying details from scan displays.
Any proposed research use would require separate information and an appropriate legal basis before it begins.
6. Photography, video and shared photographs
With your consent, we may use identifiable photographs, videos or audio recordings on:
-
Our website and social media.
-
Paid advertisements.
-
Email marketing and other SHI promotional materials.
Your choice does not affect your ability to book or attend. You can decline promotional filming and photography or withdraw consent by emailing us.
Following withdrawal, we will stop new uses and remove material from channels under our control where consent was the basis for publication. We will explain any practical limits concerning printed materials already distributed or copies independently shared by others. Withdrawal does not affect processing that was lawful before consent was withdrawn.
For Puglia trainings, selected photographs may also be shared through a participant folder. We will obtain permission for this sharing separately from public promotional use.
Participants may download shared photographs. We ask them to respect other people’s privacy and obtain permission before publishing identifiable images of fellow participants.
7. WhatsApp participant groups
We may invite you to an optional WhatsApp group for training arrangements and participant communication.
Before joining, please be aware that your telephone number, messages and, depending on your settings, profile information may be visible to other members.
Essential booking information can be provided by email if you choose to remain outside the group. Group membership does not constitute consent to marketing or public use of your messages and photographs.
WhatsApp processes information under its own privacy terms.

You may complain to the Garante per la protezione dei dati personali, Italy’s data protection authority, at www.garanteprivacy.it, or to another competent supervisory authority, including in the EEA country where you live or work.
13. Required information and optional choices
Certain contact, booking and payment details are necessary to process your purchase and deliver the services. Without them, we may be unable to complete the booking.
Marketing, promotional media consent and WhatsApp group participation are optional.
SHI does not make solely automated decisions about you that produce legal or similarly significant effects. Payment providers may perform their own fraud or eligibility checks as described in their notices.
14. Security and age requirements
We use proportionate technical and organisational measures to protect information, including limiting access to people and providers who need it.
Our trainings and bookings are intended for adults aged 18 and over. If we discover that we have collected a child’s information inappropriately, we will investigate and take appropriate action.
15. Changes to this policy
We review this policy when our services or data practices change. The effective date will appear at the top. We will provide further notice or seek fresh consent where required.
